Can Your SAP HR and Payroll Reports Do This?
If you still think of SAP HR reports as lists of data, you’re missing out. Reports should help analyze, improve and monitor your data in real-time. In other words, your SAP reports should do more than just “report”. As a member of the SpinifexIT team, I help customers re-imagine their reporting to get more value from their SAP HR and Payroll systems every day. On our website and during our demonstrations, we show you what our solutions are capable of, but hearing about some of the things we create in the real world really drives home how powerful SpinifexIT software is. Each of the following reports was recently created for customers using Easy Reporter.
Pre-Payroll Retro Identification report
Using the dates on Infotype 0003 and the Infotype Audit Log, we reported all payroll relevant infotypes and the changes that occurred to identify employees that will have retro during the current pay run in order to look for dates or amounts that will cause a significant difference or issues. Once identified, our customers can then make adjustments. This is really handy for customers who allow retroactivity farther back than the beginning of the year.

This report reconciles time entries in the ZL table with what was paid in payroll by wage type and hours. This was a fun report to create because time from the prior period in the ZL tables was included for pay in the current period and data from the current period was removed based on an employee’s time schema and business process. So, specific wage types had to be considered from the past and included in the current and data from the current had to be excluded to make it tie with payroll. This saved a ton of time since our customer previously used to do this with data extracts to Excel and now can do it in SAP.
Benefits Vendor Load Verification
The requirements here were to load medical deductions from a vendor file to Infotype 0014, which is common. What we did was use the audit log build a report that read the audit log data and then compared it against what was on the original file to make sure what was loaded was correct. We also had to identify those people who had a change in election by checking if the amount changed. Since we had the audit log, our report displayed the before and the after amounts for any wage type that changed.
Pay Period Garnishment Audit
This report displayed a history of garnishments by period from the payroll cluster, including the garnishment, the deduction and the remaining balance. The report could then be used in Easy Help Desk to help explain garnishment deductions to an employee.
401K Estimation (US)
This report reads 401K plan data stored on Infotype 0169 and uses the plan and the employee’s length of service to calculate the estimated contribution for EE and ER. We then reconcile that estimate with what was taken in payroll to ensure the plan was calculating correctly. We even pulled the 401K limit from payroll config to determine if someone was about to hit their contribution limits.
Master Data Consistency Check
With this report we took a few manual Excel-based audits and combined them into one automated report. For example, we used the employee’s group and subgroup to make sure they were in the correct payroll area, verified work schedule and wage types on infotype 0008 and also ensured that all salaried employees were enrolled in at least one of the basic life and AD&D insurance plans. The number of these types of reports you can create is endless, but each one helps maintain optimal data quality.
